Force Majeure Radisson Blu Hotel New Delhi Paschim Vihar is not liable for any failure of or delay in performance of its obligations hereunder due to any cause or circumstance which is beyond its reasonable control and may not reasonably be prevented, including but without limiting the generality of the foregoing function activity, in any such failure or delay as is caused by strikes, fires, explosions, earthquake, flood, lightening, act of God, riots, declaration of war, interference By governmental authority, provided that the party so restricted shall continue to do its best efforts to remove and handle the cause of force majeure.
Cancellations
Cancellations The client will be liable to make all payments for the venue as per the cancellation and retention policy outlined below under “Attrition/Cancellation Clause” Notification of Cancellation /Attrition If, Radisson Blu Hotel New Delhi Paschim Vihar is advised that the entire event is partially or entirely cancelled, the following cancellation fee will be applicable. Cancellation fee will be a percentage of the total estimated room rental and food and beverage expenses and will be on a sliding scale as follows: Period Prior to Expected Arrival Cancellation Fee Before 120 days 50% of the total Between 90 days and 120 days 75% of the total Before 90 days 100% of the total The retention charges for cancellation of rooms and event are charged, irrespective of the re-sellable value of the Room.
Terms and Conditions
Change in Minimum Guarantee 1. The following rates for food and beverage are based on the materialization of Minimum Guarantee as outlined in the Section above. If the materialization for the function falls below this minimum guarantee, the billing will be calculated on the minimum guarantee itself. 2. In case the numbers of attendees are more than the minimum guarantee, billing will be as per the actual attendance. Should the actual number of attendees to the event exceed the number guaranteed by in excess of 15% Radisson Blu Hotel New Delhi Paschim Vihar shall levy an additional 20% surcharge on the number of such excess attendees. 3. Should the number of guests exceed more than 25% of the min guaranteed figure, the hotel won’t be held liable for both quantitative and qualitative aspects of the function. 4. Addition of Plates will only be made after guest or guest representative will sign cover calculation form. Food & Beverage policy 1. Only Food and Beverage items provided by Radisson Blu Hotel New Delhi Paschim Vihar are to be consumed on the hotel premises. No left over Food or Beverage will be removed off the hotel premises for outside consumption. 2. Food shall be prepared 15 % excess of the guaranteed numbers 3. In case of cocktail lunch or dinner, the pre-meal service will be for a duration of maximum 03 hours 4. In case of outdoor catering function all left over food or beverage items shall remain with Radisson Blu Hotel New Delhi Paschim Vihar. 5. There are no discounted rates for children Vendor list of Hotel approved vendors for the floral / theme décor / DJ / AV / Generator / Event Co. / Photographer / Tent House for all events is attached Set up Related (Preventing damage and property insurance issues) The hotel does not permit the following: 1. Clients to use nails, scotch tapes, pins to put up posters or banners on the panel, walls or doors of banquet rooms (no nails, staples or screw are to be driven into the walls, doors, pillars or other parts of the structure of the premises) 2. Locking/ blocking of fire exit doors with equipment 3. Carpentry/Masonry/Civil or other engineering related jobs 4. Moving of heavy equipment in the function room without proper protection of the floors /carpet. 5. Tampering or removal of hotels electrical and power installation 6. Cutting & Trimming hotel’s existing trees or plants 7. All Display material within the banquet area requires the approval of Radisson Blu Hotel New Delhi Paschim Vihar Management 8. Welcome Signage or banner display in the lobby, driveway or any other part of the hotel premises except inside banquet venue 9. All Promotional Material/Banners including Backdrop should be on self-standing display boards 10. The client is responsible for directing their contractors to observe the Hotel’s Guidelines and such the client is responsible for any damage incurred by them or the contractor to the hotel premises. 11. The people involved in the movement of goods and erecting the set up for the event from the clients end needs to maintain discipline in the hotel premises. They should be in neat and clean / proper uniforms. Also they should be well disciplined & their movement is confined to the premises of the function venue 12. The hotel does not provide any storage facilities and will not accept any liability for the damage incurred to uncollected goods, damage or loss of merchandise. All goods stored before the function will be at clients own risk. The hotel will not be responsible for the loss of valuable items displayed overnight. 13. All goods/display material must be received through the hotel service gate under supervision of hotel security. 14. For events where in the electricity requirement is heavy or uninterrupted power supply is required ,the hotel would require intimation of same at least 72 hours prior to the event. In case the electricity load is more than 15 KWH it will be charged extra as per the requirement. 15. The Management of The Radisson Hotel New Delhi Paschim Vihar is not liable for any loss or damage to client & his guest’s belongings during the event. 16. Set ups involving noisy activities like hammering / banging loud cutting, setting up stage structures etc. will be planned out in compliance with the Banquets and no such activity will be allowed after 0730 hours in halls and after 2000 hours in the lawns 17. It is the responsibility of the client for the protection of all hotel surfaces in the case of outside props or equipment brought into the hotel by them or their affiliates. Any damage to the hotel surfaces due to disregard of hotel policy in this matter, will be billed by the hotel as deemed fit to compensate the loss or damage to hotel property 18. No outside decorator is allowed from guest side the same has to be booked from hotel panel only. Chaat counter /Fresh Fruit counter policy The hotel will not allow any Chaat & fruit counter from outside as per fixed policy of the hotel. Chat and fruit counter service will be avail maximum for 3 hours. All Live counters will be laid down outside the halls in pre function area Liquor Licensing Regulation 1. Liquor will be served only after the hotel has obtained, liquor License on behalf of the client. The hotel will facilitate the processing of a license fee as per the government regulation on behalf of the client 2. Liquor will be served until 2345 hours only 3. All beverages will be charged on the consumption basis as per banquet rates mentioned in attached sheet 4. Request should come at least three working days before the event. 5. License fees will be charged @ INR 5595 per day per bar & will be charged as per beverage list rates Extended Hours/ surcharge 1. Should the timing of the function exceed the stipulated timings, an overstay charge of INR 5000 per hour would be levied. 2. If the hotel has the reason to believe that the function would affect the smooth running of the hotel due to extended hours, the hotel reserves the right to suspend the function after mentioned time slot. 3. In case of outdoor catering, a charge of INR 200 per hour per staff will be charged Audio Visual & electrical installation All installation provided by the client or the hotel must be supervised by the Hotel’s Engineering. Department, the client is required to confirm to any recommendations made by hotel’s management Entertainment policy for any kind of performances / DJ in the event Entertainment and Other NOCs - Entertainment and Other NOCs - All entertainment requirements required for the event are to be approved prior to the function by Radisson Blu Hotel, New Delhi Paschim Vihar Management. Radisson Blu Hotel New Delhi Paschim Vihar reserves the right to reduce volume levels should these levels exceed the comfort level and cause inconvenience to other Radisson Hotel New Delhi Paschim Vihar guests. • In case of a Fashion Show/Exhibition/Live performance / Celebrity performance in any event, the following approvals are required at the hotel 72 hours prior to the function NOC [No objection certificate] from the Entertainment tax office, Vikas Bhawan /Clearance from the DCP Vasant Vihar / DCP • Licensing New Delhi / DCPTraffic, New Delhi. • In case of a DJ performance, the PPL licenses from the entertainment tax office, Vikas Bhawan is required 72 hours prior to the function. • DJ will be operational only up to 2245 hours as per the Delhi Government rules and regulations • All the above should be provided 7 days prior to the event. • We would require a copy of the application given to the licensing Authorities minimum 7 Days prior to the event. • DJ will not be allowed from outside, in case allowed the hotel will levy charge of INR 7,000/- In case of not furnishing of the above documents, the event will not be confirmed Guest Conduct The hotel reserves the right to admission and entry of person entering in hotels facilities. In an unfortunate event that the client or the guest behavior becomes unacceptable or inconveniences others, management of the hotel reserves the right to have the individual removed from hotel premises. If the hotel has the reason to believe that the function would affect the smooth running of the hotel, the hotel management reserves the right to refuse or cancel or suspend the function, if in progress.
